Graduation at UNDA

Are you nearing the end of your studies at UNDA? Program completion is not automatic. You need to start the process by applying to graduate.

There are a number of steps and deadlines you need to be aware of during these exciting, final stages of your studies, so take care to read the below and get in touch with us if you have any questions.

  • Graduation glossary

    Graduation Application: You have applied to have your student record assessed, as you believe you will soon be completing your program. Your Graduation Application needs to be submitted during your final semester of study, before the deadlines advised below. If you miss your Graduation Application period, you can enquire about an out of cycle conferral which may be approved in exceptional circumstances.

    Program Complete: Your Graduation Application has been assessed and you have been approved to Graduate. You have successfully completed all the requirements of your degree and will soon be conferred. To acquire proof of program completion, you can purchase an Academic Transcript or request a Letter of Completion.

    Conferral: Conferral is the official awarding of your degree, as a legal graduate of the University of Notre Dame. To be conferred, you must already be marked ‘Program Complete’. At Notre Dame, degree conferral occurs before attending a Graduation Ceremony. Upon Conferral you officially become a Graduate and an Alumnus of Notre Dame. You will then be issued your digital Testamur, AHEGs and Transcript.

    Graduation Ceremony: A celebration event for recent Graduates of Notre Dame. Students must be conferred prior to being able to attend a Graduation Ceremony. Your physical Testamur is presented to you (if you opt to attend).

  • Are you ready to graduate?

    Before you apply to graduate, check the following are all in order

    1. You need to be in your final semester of study before you apply to graduate
    2. Log in to Student Centre and check your personal details (including your Full Name, your USI number and Contact Details)
    3. Download an unofficial transcript and ensure the following details are correct:
    4. Make sure you have no outstanding fees or library fines and that you have completed your Academic Integrity Module.
  • Applying to graduate

    Please note the information below does not apply for non-award programs. For information on completion of a non-award programs, please see here.

    Applications to graduate are not open year-round, there are opening and closing dates.

    Information on Graduation opening and closing dates will be emailed to your UNDA student email account and will be published in the student newsletter throughout your final semester. You can also check this page which will be updated regularly.

    If you have missed the Graduation Application period, and all of your grades are finalised, you can apply to be assessed for completion through the process of Out of Cycle Graduation (also known as OCG). Approval through this process is not guaranteed and applications are considered on a case by case basis.

    Please note, this process will take approximately four to six weeks.

  • Out of cycle graduation

    Students that require program completion because they have missed an open Graduation application period, can still apply to graduate by submitting an Out of Cycle Graduation (OCG) application.

  • Application outcome

    The review process for program completion and graduation eligibility can take between approximately six to eight weeks following the University’s published results release date for the semester.

    Once your Graduation application is assessed, you’ll be notified of the outcome of your application status via your UNDA student email. Your Graduation status will also be updated in Student Centre.

    For students who have final results released in Semester 2 (December), this is likely to mean the Graduation application review process with the University will be completed approximately mid to end of January of the following year.

    There are three possible Graduation status outcomes:

    Approved/Degree Awarded
    This status means you have successfully met the requirements of your program and you are now ‘Program Complete’. This status will now be reflected on your official academic transcript and you will soon receive an additional email with information on the next Graduation Ceremony and how to register your attendance. In Student Centre, this will appear as ‘Degree Awarded’.

    In Review
    This status means your application is still under review and may require further action to be taken to ensure your student record is up to date.

    Denied
    This status means your application has been denied and you have not met all the requirements for the completion of your program. Your application to graduate will be automatically cancelled and you will need to re-apply to graduate in the next application round. You should contact your School for further program advice.

  • Conferral

    Conferral is an administrative process by which you are officially awarded your degree. At UNDA, conferral occurs several times a year for all eligible students marked ‘Program Complete’. This is separate from attending a Graduation Ceremony and generally happens soon after the completion of your studies. All conferred students are then invited to join us in celebrating their achievements at a Graduation Ceremony.

    Once your degree is conferred you will receive your digital graduation documents via My eQuals within 5 working days. You will receive your physical testamur at your Graduation Ceremony, or after the ceremony via post or collection if you choose not to attend.

    You will not be eligible to have your degree conferred or attend a ceremony if you have any outstanding sanctions on your UNDA record. Sanctions may be applied for any outstanding fees, debt or fines, or for failure to provide your USI (an Australia Government requirement as of 1 Jan 2023).

    Students must have a status of “Degree Awarded” to be conferred.

    My eQuals documents will be uploaded within 5 working days after Conferral.

  • Graduation documents

    After your degree has been conferred, an email notification from MyeQuals will be sent to your Notre Dame student email account within 5 working days informing you that your electronically certified official documents have been uploaded.

    These documents include:

    • Digital Testamur
    • AHEGS (Australian Higher Education Graduate Statement)
    • Official Transcript

    MyeQuals is a secure platform used by universities across Australia and New Zealand to issue and authenticate academic records in digital format. You can use MyeQuals to safely share your digital documents with anyone you choose, such as employers, universities and other parties. You have control over who can see your statements and the duration they are made available.

    At your ceremony, you will be presented with your physical testamur. A testamur or ‘graduation certificate’ is a legal document that verifies you have been conferred (awarded) a University Qualification. It bears the University seal and the signatures of the University Chancellor and Vice Chancellor for validation.

    If you are unable to attend your ceremony, you will be given the opportunity to have your testamur posted to you or you can collect it from your closest campus after the ceremony.

  • Graduation ceremony

    2024 Graduation Ceremony dates:

    • Fremantle Ceremony 1 | Tuesday 30 April and Wednesday 1 May 2024
    • Sydney Ceremony | Friday 7 June 2024
    • Broome Ceremony | Friday 30 August 2024
    • Fremantle Ceremony 2 | Friday 11 October 2024

    You will receive an email in the weeks leading up to the next Graduation Ceremony with further details of the ceremony and an invitation to RSVP.

  • Non-award programs

    Students who complete Non-Award programs will receive a Completion Certificate and Transcript upon completion. Non-Award programs are not included in our formal Graduation ceremonies.

    The Graduation team is sent a list of students who are completing a Non-Award program from the School at the end of each semester. The Graduation team will email students with details of Certificate collection to their student email address. Please note: Certificates are processed over a number of weeks at the end of the semester and are not instantly provided.

    Non-Award programs that are issued a Completion Certificate are as below:

    • Pre-Medicine Certificate
    • Professional Certificate in Wellbeing in Education
  • VET programs

    VET students who have completed their program are processed separately by the UNDA VET team. The Graduation team is sent a list of students who are completing a VET program from VET at the end of each semester. VET students are invited to attend a Graduation Ceremony.
