Host a Meeting

Host a Zoom meeting for one-on-one, small group or large group collaborative sessions. Use a meeting when collaborating with fellow staff and students, teaching a tutorial online or speaking with external users about projects or research. Meeting options include screen sharing, video and audio, annotation and polls.

Bookings: Zoom meetings can hold up to 300 participants. No approval is required to host a meeting.

Host a Webinar

Host a Webinar for events where attendees do not need to collaborate; such as live stream for graduation or student information nights. All attendees can select to register for the session or event so that users present can be identified. Webinars are designed so that hosts and any designated panellists can share their video, audio and screen. Webinars allow view-only attendees. They can interact via Q&A, chat, and answer polling questions.

Bookings: Use a Zoom Webinar when the expected participants are up to 500. Webinars require approval from ITO prior to generating, as limited licenses are available for use.

Roles in Zoom

There are multiple roles available for a Zoom meeting or webinar: host, co-host, alternative hosts, and participants. The host designates roles for individuals within a meeting.

  • Host: The user who scheduled the meeting. They have full permission to manage the meeting. There can only be one host within a meeting.
  • Co-hosts: Shares most of the controls that hosts have, allowing the co-host to manage the administrative side of the meeting, such as managing attendees. The host must assign a co-host during the meeting. Co-hosts cannot start a meeting. If a host needs someone else to start the meeting, they can assign an alternative host.
  • Alternative hosts: Shares the same controls as co-hosts, but can also start the meeting. Hosts can assign alternative hosts when they schedule a meeting.
  • Panellists: Panellists are full participants in the meeting. They can view and send videos, screen share, annotate, etc. Panellist invitations can be sent separately from other Webinar attendees.

  • Attendee: When you join a Zoom meeting hosted by another user, you are considered an attendee. Attendee controls are different from those of a host. The host sets features made available to an attendee in a meeting. These include the option to share screen, create a poll, chat, show video or be auto mute when an attendee joins a meeting.

Recordings

Meetings and webinars can be recorded and stored in the Cloud or on University shared drives for security. It is not recommended to store recordings locally on a desktop or personal device.

Cloud: Recordings are compressed and saved to the Cloud. A link to the recording is created within 24 – 36 hours of the meeting. Share the link and password as a secure share to internal and external contacts. Manage your recordings through the secured web interface to download, share or delete your meetings.
