    The University Analytics, Planning and Performance Office supports the University in the areas of data analysis, planning and reporting to monitor the University’s performance and progress on agreed goals and priorities.

    We are committed to providing stakeholders within the University with the information required to support data informed decision making.

    Our Responsibilities

    Service Statutory Reporting

    Our Role

    • Validation of the Student and Staff Government Reporting to the Department of Education, Skills and Employment (DESE)
    • Verification of the Student and Staff Government Reporting to the Department of Education, Skills and Employment (DESE)
    • Training and assistance on how to do validations for handover (including relation based errors and figuring out the lineage of errors)
    • Verification of Student and Staff Government Reporting
    • Assistance with the Process improvement

    Outside our scope

    • Fix the data quality issues. Our role is to determine what data quality issues are occurring and to send these issues to the appropriate directorates to fix in the source system. We will then re-extract the data to submit to DESE

    What you need to do

    • Ensure any known data quality issues have been logged in the Data Quality Issue Register
    • Ensure all data is provided through Peoplesoft in the most timely, accurate, complete, consistent and valid way possible
    • Have someone from your area check the data before it needs to be submitted
    ServiceAd-Hoc Reporting

    Our Role

    • We provide a form for your requirements in   plain English dot form
    • Read your well-defined requirements (form) and come back to you with a translation / confirmation to ensure we have the requirements correct
    • Advise on the best approach

    Outside our scope

    • Data entry into worksheets / spreadsheets / forms
    • Clarification of business processes that support data collection or entry (please contact data stewards)

    Timing

    • Once a request has been submitted through our form, we can provide report in 10 days
    • Any change to requirements a restart of the 10 day development cycle

    What you need to do

    • Approvals

    • Send request well in advance
    ServiceInstitutional Research/Analytics

    Our Role

    • Utilise statistical analytics to produce further insight beyond aggregation to inform decision making
    • Provide analytical assessment and narrative for reports
    • Provision of fact based annotation where necessary
    • Advise on the best approach

    Outside our scope

    • Provision of value based commentary about the faculties or inner workings of the University
    • Institutional Research reports and analysis must be in line with strategy and approved by the SMG

    Timing

    • Once requirements have been finalised and approval granted, the report will be provided in draft form in 4 weeks
    • Once amendments from draft have been approved, the final report will be provided 2 weeks from approval
    • Any change to requirements leads to a restart of the development cycle timing

    What you need to do

    • Get approval from SMG
    • Scope what the report requires
    • Provide background information on the report
    • Read the draft, provide commentary
    • Approve final report
    • Provide information on the readership of the report
    Service Data Information and Governance

    Our Role

    • Creating and chairing the Data Quality Working group
    • Creating a Data Quality Issues Register with actions against directorates to ensure the definition, assessment, analysis, improvement, implementation and control of data quality
    • With assistance from the Data Governance Committee, develop the data principles, procedures and guidelines for the use, access, and destruction of data
    • Promote the Data Governance policies and management guidelines across the University

    Outside our scope

    • Defining the individual access groups for each report
    • Data quality within source systems

    What you need to do

    • Provide input to the Data Quality Issues register
    • Provide user lists for access to BI / IR / Analytical reports

  • DASH – Data, Analytics and Statistics Hub

    The Data, Analytics and Statistics Hub is a centralised repository of key data from across the University.

    Currently the reports are provided in PDF format only. Throughout 2020, UAPPO will be implementing Microsoft Power BI as the University's data visualisation tool. This will enable the provision of dynamic and interactive reporting.

    Staff are reminded that access and use of DASH must be in accordance with University Policies.

      Student Load Reports (EFTSL)

      These reports show the current total equivalent full-time study load (EFTSL) for the current semester by program school. These reports also show EFTSL by Fee Type and Program Type, Domestic or International undergraduate, postgraduate and research. These reports provide a comparison between the actual EFTSL and the University’s Strategic Baseloads.

  • Data sets and ownership

    A single authoritative set of data is maintained for each type of the University’s administrative data. Each of these data sets is assigned a Data Owner and a Data Steward that are responsible for this data set.

    Data Stewards are responsible for the day-to-day management of their data set. This includes ensuring that the data is accurate and up to date and that the security and integrity of the data is maintained. The Data Steward also authorises access to and use of the data.

    Data Owners are accountable for ensuing that data is fit for both operational and strategic purposes.

    The Director Analytics, Planning and Performance is accountable for the strategic coordination of data management and reporting across the University.
