University Staff ID card
All continuing and fixed-term staff members at the University of Notre Dame Australia are required to have a University Staff ID card.
A University ID card allows you to:
- Prove your identity as a staff member on campus
- Access the university's enterprise printing and photocopying services
- Access buildings on the Fremantle and Broome campuses*
* Sydney Campus building access is via a separate door tag solution.

Request a Staff ID card
Before ordering your ID card, please activate your staff account and set up Okta Verify on your device. Once active, complete the steps below:
1: Log in to Capture Me
Log in using the Capture Me Portal.
2. Upload your ID photo
Using the requirements provided, upload a photo:
- Colour photo, not black and white
- Head and shoulders only, facing directly at the camera
- Neutral expression (no frowning or raised eyebrows)
- Plain, light-coloured background (white or grey preferred)
- No hats or head coverings unless for religious or medical reasons
- No sunglasses (clear prescription glasses are acceptable)
- No filters or enhancements
Please ensure your photo meets the standard requirements listed and is suitable for identification purposes. Uploading inappropriate photos may be considered misconduct and be referred to People & Culture for review.
3. Confirmation
After submitting your photo, you will receive a confirmation email. Your staff ID card will then be processed and made available for collection at your campus Student Hub.
If you do not receive a confirmation email, please submit a support request through the IT Service Portal.
ID card collection
On-campus collection
You will receive an e-mail when your card is ready for collection, alternatively, you can check at your campus Student Hub two weeks after receiving your ‘ID Card Photo Submitted’ confirmation email.
Pickup hours:
- Locations: Michael J M Wright Library (Fremantle) and NDS5, Ground Floor, Pioneer House (Broadway)
- Days: Monday to Friday
- Time: 8:00 AM - 5:00 PM
Bring a valid photo ID when collecting your staff ID card. Accepted forms include an Australian Driver’s Licence and Passport.
Posting your card
If you cannot make it to campus to pick up your staff ID card, please coordinate with your direct line manager for collection options.
For Regional and Broome staff members, your ID card can be mailed directly to you. Please ensure to discuss this arrangement with your direct line manager.
Replacement Staff ID Cards
If your staff ID card is damaged, lost or stolen, you can request a replacement. These cards must be reported to Campus Facilities so building access can be reviewed and removed before a new card is issued. Report a damaged, lost or stolen card through the Archibus Portal.
To request a replacement card, please submit a support request through the IT Service Portal. Attach confirmation from Campus Facilities that building access has been reviewed and removed.
Once system access has been granted, submit your replacement card request using the Capture Me Portal.
Sessional staff and contractors
Sessional staff and contractors may request a staff ID card where there is a clear business need and line manager approval. Submit a support request through the IT Service Portal. Attach confirmation of business reason and line manager approval.
Once access has been granted, submit your card request using the Capture Me Portal.
Building access
Generic building access is added to staff ID cards. If additional building access is required, please submit a request through Campus Services via the Archibus Portal.
