Managing your scholarship

Receiving a scholarship is an achievement, and we want to make it as easy as possible for you to understand your offer, receive your support and meet the requirements of your scholarship.

This section provides information about what happens after you receive a scholarship and what you need to do throughout the life of your scholarship.

Your scholarship offer

Your scholarship offer will outline the value of your scholarship, the period of support (scholarship term) and any conditions that apply.

Some scholarships are offered conditionally, usually before the census date. This means you need to meet specific requirements before the scholarship can be confirmed. Your offer will explain any conditions that apply and what you need to do.

Please read your offer carefully and contact the Scholarships team if you are unsure about any part of your scholarship.

  • Accepting your offer

    If you are offered a scholarship, you will need to formally accept your offer before the date specified in your offer, by completing the acceptance and declaration form.

    Make sure you have read and understand the conditions of your scholarship before accepting your offer. If you do not accept your scholarship by the required deadline, your offer may lapse.

Scholarship payments

Scholarships may be provided as either a cash payment or a fee remission, depending on the scholarship.

Cash scholarships are paid directly to your nominated bank account once all relevant requirements have been met.

Fee remission scholarships are applied towards your tuition fees or other University charges, as specified in your scholarship conditions.

The payment arrangements for your scholarship will be outlined in your scholarship conditions.

For questions about tuition fees, fee remission, your student account or how a fee remission has been applied, please contact the Student Fees Office.

  • Providing your bank details

    Where your scholarship includes a cash payment, you will need to provide your bank account details so that your payment can be processed.

    Make sure your details are accurate and up to date. You will be provided with instructions on how to submit or update your bank details as part of the scholarship process.

    Please check your bank details carefully before submitting your acceptance form. The University cannot be responsible for payments made to an incorrect bank account as a result of incorrect bank details being provided.

Conditions of continuation

Some scholarships provide support over multiple semesters or years and have conditions you must continue to meet to maintain your scholarship.

Your scholarship conditions will explain the specific requirements that apply to you. These may include:

  • Academic standing: maintaining a good academic standing or satisfactory academic progress.
  • Enrolment requirements: remaining enrolled in the required course, study load or campus for the scholarship period.
  • Other scholarship conditions: meeting any additional requirements specific to your scholarship.
  • Changes to your circumstances: notifying the Scholarships team if your circumstances change in a way that may affect your eligibility or ability to meet your scholarship conditions.
  • Scholarship exemptions and special circumstances

    We understand that circumstances can change. Some scholarships may allow for exemptions, adjustments or other arrangements where you are unable to meet a scholarship condition due to extenuating circumstances.

    If you are concerned that a change in your studies or personal circumstances may affect your scholarship, contact the Scholarships team as soon as possible. We can explain the options available under your scholarship conditions and advise you on any documentation or forms you may need to provide.

    Please do not assume that a temporary change to your enrolment or circumstances will automatically result in your scholarship being cancelled.

Your responsibilities as a scholarship recipient

As a scholarship recipient, you have responsibilities to the University and, where applicable, to the donor or organisation that has provided your scholarship.

Your scholarship offer and conditions will outline any specific requirements that apply to your scholarship. The following requirements apply to scholarship recipients generally.

  • Annual scholarship updates

    For the duration of your scholarship, you will be asked to provide an Annual Scholarship Update at the end of each calendar year.

    Your update should provide an overview of your academic and personal journey and your overall student experience at Notre Dame, with a focus on how your scholarship has impacted and added value to your studies and student experience.

    Your update helps the University and scholarship providers understand the impact of their support and how scholarships are making a difference to students.

    To help you prepare your update, please refer to the Annual Scholarship Update Guidelines and Annual Scholarship Update Template.

    If you need additional support or more time to complete your update, please contact the Scholarships team. It is important that completing your update does not negatively impact your studies or wellbeing.

  • Thank you letters

    Recipients of donor-funded scholarships may be invited to write a letter acknowledging and thanking their scholarship donor after accepting their scholarship offer.

    A thank you letter provides an opportunity to share your experience directly with the donor and explain the difference their support has made to your studies and student experience. These letters also help scholarship providers understand the impact of their contribution and support future scholarship opportunities for students.

    Writing a thank you letter is completely optional. Choosing not to participate will have no effect on your scholarship eligibility or continuation.

    Your thank you letter is separate from your Annual Scholarship Update. The Thank You Letter Guidelines are available to help you prepare your letter.

  • Donor engagement

    Some scholarship recipients may have opportunities to meet or communicate with their donor or scholarship provider directly through events, correspondence or other activities.

    Participation in these activities is optional and will vary depending on the scholarship. Where opportunities are available, you will be provided with information about the activity and can choose whether you would like to participate.
